Policies & F.A.Q.

Here are the answers to some of the most commonly-asked questions we receive. However, if your question isn't answered here, don't hesitate to reach out. We are happy to answer any and all questions for EPIC people like you!

Questions about gymnastics? Gym FAQ

Questions about dance or our Studio? Studio FAQ

Questions about parkour, martial arts, or the Dojo? Dojo FAQ

What classes do you offer?

That's a difficult question to answer succinctly, as we offer many different classes, and are always trying to expand the diversity of our offerings! In general, we offer gymnastics, dance, parkour, martial arts, and fitness classes for participants ranging in age from 18 months to 90+ years old! We offer recreational and competitive programs in both dance and gymnastics for youth.

How much do classes cost?

The cost of our classes varies depending on many factors: length of the class, length of the session, and class size restrictions, for example. Class prices are listed online, and are pro-rated based on remaining classes if the session is already underway. Just click on the "Pricing & Registration" button underneath whatever class you're interested in!

Can I stay and watch?

Absolutely! We have a large viewing area both up- and downstairs for any friends or family who wish to view. We ask that if you choose to stay, please refrain from shouting at or distracting your child, as this can create disruptions and potentially be dangerous for our participants.

Can I leave while my child does their class?

Most of the time, that's no problem at all! For very young children, or for the first few weeks of a new class, sometimes it is helpful for a parent or guardian to stay, just in case. However, for older kids, and longer classes, you do not have to stay. Please just mention to our front office staff that you'll be out of the building, and confirm that we have the best contact number on file in case we need to get in touch with you.

How do I register for classes?

The best way to register is online through this website! Even if you prefer to pay in person in cash, cheque, or debit, you are still able to register online; just select "pay in person" as your checkout option. Registering through our website ensures you get the most accurate information regarding payment and class availability.

However, we also understand that registering online is not preferable for all people. If you'd prefer to visit us in person or phone us, we are happy to register on your behalf! During peak registration times, (e.g. when we release a new session registration) please bear in mind that we may be difficult to reach, as all of our phone lines are often in use! Registering in person/over the phone also does not increase your likelihood of getting into any class.

Please note: We do not accept payment over the phone.

What if my child is ill?

We ask that any person exhibiting symptoms of illness, be they participant or spectator, please refrain from visiting our facility until they are well. While we know it is never fun to miss class, we also believe the best thing you can do when ill is rest and allow your body to recover.

Unfortunately, we cannot refund for classes missed due to illness; our overhead costs do not change regardless of class attendance, and we require a minimum number of participants in order to run our classes. However, for a prolonged (3+ weeks) or exceptional circumstance, please speak to us.

Make-up classes are possible in some rare circumstances; if we have an alternate class available that is not full, we will arrange for your child to receive a make-up class at EPIC's discretion.

How long is the session/when is the next session?

We have four sessions in the year, following the school calendar; Summer, Fall, Winter, and Spring. Each session varies in length from year-to-year, but typically Fall is our longest session, ranging from 12-14 weeks, and Summer is our shortest session, ranging from 8-9 weeks.

I sent an email and never heard back! Why?

We respond to every single email we receive. However, we also receive a considerable volume of emails, especially during registration periods! We always endeavour to respond within 24 hours, although in some cases it may take us up to a few days to respond. If you haven't heard from us in a few days, it is most likely your email did not make it to our inbox. Please send a follow-up email, or give us a call, and we'll be happy to help you!

Is your facility accessible?

We consider our facility *mostly* accessible, and we are proud to say that many wheelchair-users enjoy our facility each week! We have a fully-accessible ground floor and washroom. At this time, our second-floor is stair-access only, but this is only a seating area for viewing, and we have ample viewing area downstairs.

Are you planning a birthday party or event at our facility? Please talk to us in advance, as we can set up our studio for an accessible experience, rather than our upstairs party room.

What payment methods do you accept?

Almost anything! In person, our preferred methods of payment are cash, cheque, or debit, as these have the least processing fees, although we can also accept Visa and Mastercard. Online payments can be made by credit card through our website, or we accept e-transfer at info@epicgym.ca (please be sure to make note of who the payment is for). We do not accept payment over the phone.

Do you have a multi-class or family discount?

At this time, we don't offer a multi-class discount in most cases. However, this may change as our programs evolve!

Families with multiple children in our competitive stream are eligible for a family discount.

What is your refund policy?

In general, we try to air on the side of being good to our customers. If you're unhappy, or unable to attend class for the remaining session, we don't feel right about keeping your money. However, please bear in mind that we staff our classes and events many months in advance, and we have to be courteous to our staff in regards to scheduling.

Recreational Classes: At any time, for any reason, if you wish to withdraw from your class, we will credit or refund you for any remaining classes, less the deposit. Classes attended or already passed cannot be refunded. Any membership or insurance fees are non-refundable. The $50 Non-refundable deposit cannot be refunded.

Competitive Teams: Competitive team members are committing to a minimum 10-month payment structure, billed monthly. Monthly fees can be adjusted, at EPIC's discretion, should a competitive athlete/dancer miss a considerable portion of training for a legitimate reason (e.g. injury, illness). Fees for insurance, competitions, and apparel cannot be refunded.

Day Camps: If given two weeks notice (or more), a full credit or refund will be issued, minus the $50 non-refundable deposit. Less than two weeks notice, a refund will only be issued if a replacement camper can be found, and the $50 non-refundable deposit will not be refunded. Once the camp has begun, no refund will be issued.

Birthday Parties: We require a $50 non-refundable deposit to hold your party date. Should you be unable to attend your birthday party, provided you contact us with enough time to notify our staff, EPIC will refund any payment made, less the $50 deposit.

Special Events: Should an event be cancelled (e.g. due to weather) EPIC will refund the event. Otherwise, special events are non-refundable.

Rentals: We require a 20% (minimum $50) non-refundable deposit to hold your rental date. If cancelled two weeks (or more) in advance, rental fees are fully refundable, minus the deposit. Less than two weeks notice, EPIC will issue a 50% refund.

Apparel & Merchandise: Brand new, unused and unworn products with tags still attached can be returned or exchanged, at EPIC's discretion. DNA Performancewear suits are final sale, they are not refundable or exchangeable.
